Know what your inspection appointment needs to accomplish.

Inspection and testing need an agreed scope, suitable access and a readable record. Prepare the visit so findings lead to decisions rather than an unexplained invoice.

Define the visit before booking

“Sprinkler inspection” can describe several different tasks. Ask the provider to identify the system, applicable programme, included equipment and tests, and the report you will receive. Do not assume a familiar calendar label includes every connected alarm, backflow assembly or fire pump. Confirm separately who covers each component and interface.

Provide the last report and identify unresolved findings. If this is a first visit after buying a building, say that records are incomplete. An honest starting point helps the provider explain what it can establish and what requires further investigation.

Prepare access and communication

List spaces that need access and name the person who can arrange it. In a multifamily property, suite-entry notices and escorting may need planning. In a commercial building, restricted areas or after-hours work may affect scheduling. Share these constraints when booking, not when the technician arrives.

Ask the provider to explain any proposed interruption, notifications and protection arrangements. The building’s authorized personnel and qualified provider should manage that process. This guide does not provide valve, alarm or pump operating instructions.

Ask for a traceable report

  • Property, visit date and responsible provider.
  • Equipment or areas included and anything inaccessible.
  • Observations separated from completed tests.
  • Findings identified clearly enough to locate later.
  • Recommended next actions, limitations and follow-up responsibility.

Where a report references a standard or requirement, ask for the relevant edition and the reason it applies. An unexplained pass/fail box is difficult to act on. Request clarification while the visit is recent and keep the original report unchanged.

Close the findings, not just the appointment

Assign an owner to each follow-up item. Request an explanation of urgency, a repair scope where needed, and what evidence will close the finding. A return visit, replacement invoice and revised record are different documents; ask which combination establishes completion for the particular item.

Use the deficiency follow-up guide to organize decisions. If a system may be impaired or there is immediate danger, contact the appropriate emergency or qualified response channel rather than waiting for a web enquiry.

Establish the schedule for this system

Ask the provider to document the inspection, testing and maintenance programme that applies to the actual equipment and adopted requirements. Different activities can have different intervals. This page deliberately does not turn a generic interval table into a building-specific instruction. Put the confirmed responsibilities and due dates in the property’s own calendar.

Is one annual visit always enough?

Do not assume that. Ask for the programme covering the actual system, components and applicable requirements.

Can a report prove every hidden pipe is sound?

A report establishes the work and observations within its stated scope. Ask about inaccessible areas, test limitations and any further investigation.

Should I send an old report with the enquiry?

Mention that it exists and summarize the issue. Arrange an appropriate channel before sending documents containing tenant details or security information.
