Good preparation means accurate records, arranged access and one responsible contact. It does not mean performing sprinkler work before the provider arrives.
Send a concise booking brief
State the property, reason for the visit, known system information and available reports. Quote the exact finding reference when following up on a report. Mention any active concern through the appropriate qualified response channel; a routine web request is not a substitute for urgent response.
Prepare the record set
- Latest available drawings and equipment documents.
- Previous inspection and repair records.
- Unresolved findings and relevant work orders.
- A description of renovations or use changes.
- The contact authorized to make decisions.
Arrange ordinary access
Confirm which rooms or suites need access and arrange notices or escorts through the property’s established process. Keep access routes clear through ordinary housekeeping where it is safe to do so. Do not move, dismantle or operate fire-protection equipment to make the appointment easier.
Confirm interruption arrangements
Ask the provider what coordination is needed before work begins and which qualified or authorized people handle it. Keep tenants, staff and connected vendors informed through the agreed process. This guide does not provide impairment, isolation, alarm-bypass or restoration instructions.
Agree on the handoff
Ask when and how the report is supplied, whom to contact with questions and what will happen if additional work is identified. Record the next step after the visit. A clear report recipient and decision maker prevent findings from sitting in an unattended inbox.

Should I photograph a concern?
A photo from a safe ordinary position may help the provider later. Never approach danger or touch equipment to obtain one.
What if drawings are missing?
State that at booking. Ask the provider what assessment or records work is needed.
Can I prepare by opening a drain or moving a head?
No. Leave equipment work to appropriately qualified personnel.
