Build maintenance around the system you actually have.
A maintenance plan keeps responsibilities, recurring work and records connected. Start with equipment information and service history instead of assuming every sprinklered building needs the same checklist.
Create the equipment and records picture
Gather the latest system drawings, manufacturer documents and service reports. Note whether there are wet, dry or pre-action areas, connected pumps or backflow equipment, and separate service contracts. “Unknown” is a useful entry when a document has not been found; it is better than assigning the wrong equipment to the wrong programme.
Keep one current record set available to the people who manage the property. A change of owner, manager or contractor is a good time to reconcile missing reports and unresolved work.
Agree who does what
Ask the qualified provider to distinguish its tasks from the owner’s administrative responsibilities. Confirm who organizes access, tracks due dates, receives reports and coordinates connected trades. Do not treat general caretaker duties as authorization to adjust or test life-safety equipment.
If several vendors are involved, make the boundaries visible. Sprinklers, alarm monitoring, pump equipment and water-service responsibilities can cross contract lines. Identify the person who resolves a gap instead of leaving each vendor to assume someone else handled it.
Use changes as review triggers
- Altered partitions, ceilings or tenant uses.
- New storage arrangements or goods.
- Repeated service findings or unexplained moisture.
- Changes to heating or cold-exposed areas.
- Equipment changes or incomplete replacement records.
A recurring service contract does not automatically assess every building alteration. Tell the provider what changed and ask whether a design or authority review is needed.
Keep maintenance decisions auditable
For each recommendation, record the finding, proposed work, decision maker and completion evidence. A quotation is not a closed repair. Link the final invoice and any required retest or updated report to the original finding so the next manager can understand what happened.
When a recommendation is declined or deferred, record the professional explanation, escalation and authorized decision. Do not interpret a budget delay as confirmation that a protection issue is harmless.
What to put in an enquiry
Tell the team the property type and location, the system information you know and whether you want a first assessment, ongoing programme or follow-up on a report. Include access constraints and previous findings in plain language. Avoid posting photographs of controls or security-sensitive rooms publicly.

Can cleaning a sprinkler head be ordinary DIY maintenance?
Do not paint, coat, scrape or attempt to repair a sprinkler head. Ask a qualified sprinkler provider to assess the concern and correct remedy.
Does a maintenance contract include replacements?
Only the written scope establishes that. Ask about materials, callouts, connected equipment and exclusions.
Can a new contractor use the old service records?
Provide the records you have and ask the new provider to state what it accepts, what is missing and what needs confirmation.
